Client Engagement Terms

How CAQA Bids scopes, quotes, delivers and manages tender, grant and bid engagements.

Client work at CAQA Bids is performed under an agreed proposal, quote, service agreement, retainer or written scope. The scope will identify the deliverables, assumptions, client responsibilities, fees, payment terms, timelines and review process. Clients are responsible for providing accurate, complete and timely information. Work outside the agreed scope may require a variation, additional fee or revised timeline.

CAQA Bids, part of CAQA Groups and Career Calling International Pty Ltd (ABN 53 162 651 238), provides tender writing, grant applications, procurement responses, panel applications and bid-quality assurance to training organisations, education providers, businesses, not-for-profits, community organisations and government suppliers. These Client Engagement Terms describe how our engagements are established and managed. They apply together with the specific proposal or agreement issued for your engagement; where the two differ, the signed engagement document prevails.

How an engagement begins

Engagements usually start with an enquiry through this website, by email or by phone. We will discuss the opportunity, the deadline, the documents involved and the level of support you need, then issue a written proposal or quote. Work begins once you accept the proposal in writing and we confirm capacity for your deadline. Because tender and grant deadlines are fixed, we may decline or re-scope work where the remaining time is not sufficient to deliver a quality submission.

Scope, deliverables and assumptions

Each proposal defines what we will deliver, for example a full tender response, specific schedules, a grant application, a capability statement or a review of your draft, along with the assumptions the quote relies on, such as document volumes, the number of review rounds and the availability of your subject-matter experts. If the opportunity changes after work begins, for instance through an addendum that alters the response requirements, we will discuss the impact and agree any variation before proceeding.

Your responsibilities

Successful submissions are a joint effort. During an engagement you agree to supply source materials, evidence and data promptly; make relevant staff available to answer questions; review drafts within the agreed turnaround times; verify the accuracy of all claims, pricing and credentials in the submission; and approve the final document before lodgement. Unless the engagement expressly includes lodgement support, submitting the response to the procuring agency or grant body, and meeting its deadline, remains your responsibility.

Fees, invoicing and payment

Fees are quoted for each engagement based on scope, complexity and timeframe, and may be fixed-fee, staged or time-based as stated in the proposal. Invoices are issued under the engagement agreement and are payable on the terms it states. No payments are taken through this website; there is no online checkout, and we will never ask you to enter payment details on CAQA Bids web pages. Urgent-deadline work may attract a priority loading, which will always be disclosed in the quote before you accept.

Variations, postponements and cancellations

If you need to expand the scope, we will quote the additional work as a variation. If a tender or grant round is postponed or withdrawn by the issuing body, or you decide not to proceed, work performed up to that point remains chargeable, and we will agree a fair treatment of any remaining scope, such as crediting it toward a future opportunity. Nothing in these terms limits rights or remedies that may apply under the Australian Consumer Law.

Reviews and quality assurance

Deliverables include the number of review rounds stated in the proposal. We incorporate your feedback within scope, run compliance and quality checks against the request documentation, and provide the final version in an editable format unless agreed otherwise. Additional review rounds beyond the agreed number are quoted as variations.

Confidentiality and intellectual property

All engagement materials are protected under our Confidentiality policy, which covers tender documents, pricing, partner information and commercially sensitive materials. On payment of our fees, you own the final submission documents we prepare for you. We retain ownership of our pre-existing templates, checklists, methodologies and know-how, which you may continue to benefit from within your organisation but may not resell or republish.

Limits of advice and outcomes

Our services improve bid structure, compliance and evidence quality; they are not legal, financial or probity advice, and they cannot guarantee that any tender, grant or procurement decision will go your way.
